Why an auto shop needs online booking

A large share of appointment requests arrive when nobody can answer: in the evening, on the weekend, or while you are under a car. Every missed call is a customer calling the next shop.

Online booking solves three problems at once:

  • Lost calls: the customer books on their own, at whatever hour suits them, including when the shop is closed.
  • Interruptions: every booking call breaks the work in progress. Across a day that easily adds up to one or two hours.
  • Planning mistakes: an appointment taken quickly over the phone often turns out not to fit the day.

Slots computed from your real capacity

This is what separates a real shop booking module from a shared calendar. A calendar offers free time boxes. A tool built for the shop computes what is actually doable.

Work bays

Kairos thinks in available bays. A slot only appears if a bay is genuinely free at that moment — not just because a calendar cell is empty.

Typical duration per service

Every service has its own duration: mounting tires does not occupy the shop like a collision repair. You set those durations once, and the offered slots account for them, including multi-service bookings.

Vehicles already dropped off

A car dropped off yesterday still occupies a spot today. Same-day availability follows the real state of the shop: the spot only frees up when the vehicle is marked ready.

Target fill rate

Filling a day to 100% guarantees running late. A maximum fill ratio (85% by default) plus a buffer per job leave room for the unexpected and for walk-in emergencies.

Where to put your booking link

A booking link is only worth something where the customer is looking for you.

  • Your Google Business Profile: the first door for “auto repair near me”. A booking button turns a local search into an appointment.
  • Your website: a visible button above the fold, not buried in a contact form.
  • A shareable link: to send by text or email, or to paste into a Facebook or Marketplace reply.
  • QR codes in the shop: on the counter, on the invoice or in the window, so customers rebook without calling.

Wait or drop-off: two different logics

Not all appointments behave the same way. A customer waiting in the lounge occupies a bay continuously for a short time. A customer dropping the car off for the day — or for three days in collision — ties up a spot far longer.

Kairos separates the two using a duration threshold you define (3 hours by default). Below it, the appointment is treated as a wait; above it, as a drop-off, with a different communication cycle: repair status, parts-delay notice, then the vehicle-ready alert.

Concrete case. A vehicle set aside waiting on a part frees its spot for other same-day appointments, but the job stays open: no vehicle-ready message and no review request go out until the work has resumed and finished.

From booking to confirmation: cutting no-shows

Online booking without confirmation produces exactly the same no-shows as a phone booking. The full journey is what counts:

  1. The customer books online; the appointment is created as pending confirmation.
  2. An SMS goes out immediately with a confirmation link.
  3. Once confirmed, every message in the cycle is scheduled automatically.
  4. A reminder goes out before the appointment; the customer can reply YES, NO or RESCHEDULE.
  5. A cancellation or reschedule frees the slot for someone else instead of leaving it empty.

It is this complete loop — not the reminder alone — that produces the estimated 35% drop in no-shows.

Setup: what to prepare

Configuration takes a few minutes and comes down to three things.

  • Your services: what you offer, with the typical duration of each (entered in hours, one hour minimum).
  • Your bays: how many work bays are genuinely available, which drives capacity.
  • Your hours: opening windows, buffer per job and target fill rate.

After that, the booking link is ready to paste onto your Google profile and your website. No data migration, no training required.

Can online booking overload my shop?

Can I put the booking link on my Google Business Profile?

Yes. The Kairos booking link can be added to your Google Business Profile, your website, an SMS, or behind a QR code displayed in the shop.

What if a customer books a service I cannot do that day?

The slot simply is not offered. Availability is computed per service: if the required duration does not fit the day given occupied bays, the time does not appear.

Does the customer get an automatic confirmation?

Yes. A confirmation SMS goes out as soon as the booking is made, with a link to validate. Once confirmed, all reminders and notifications in the cycle are scheduled automatically.

Can I still take appointments by phone?

Of course. Creating an appointment manually stays available in Kairos, and those appointments enter the same reminder and follow-up cycle as online bookings.
