In short: three questions before you choose
Before comparing feature grids, these three questions rule out 80% of bad purchases.
- Is what costs you time inside or outside the bay? Work orders, parts, inventory, invoicing are inside. Calls, confirmations, reminders, reviews, follow-ups are outside. Different software.
- Does what you already run actually work? If invoicing is fine, replacing it costs a migration, training and weeks of friction for a problem that lives somewhere else.
- How many appointments do you process a month? Below a hundred or so, a three- or four-figure flat subscription is hard to justify.

“Auto repair shop software” is really two families of tool
Shop management systems (DMS)
They run the inside of the shop: estimates, work orders, parts catalogue and ordering, inventory, billable hours, invoicing, sometimes full accounting. This is the administrative backbone. GEM-CAR, Autocarro, GarageBox and Shopmonkey belong here.
Customer communication software
They run everything happening between you and the customer: online booking, confirmation, reminder, repair status, vehicle-ready alert, Google reviews, follow-ups. Management systems handle this layer partially, often a bare SMS send, rarely a full cycle with inbound replies. Kairos belongs here.
Confusing the two is the number one cause of a bad purchase. A shop drowning in phone calls buys a four-figure DMS contract, migrates its data, and six months later the phone rings just as much.
Auto repair shop software compared
| Solution | Family | Origin | Mainly covers | Model |
|---|---|---|---|---|
| GEM-CAR | DMS | Quebec | Estimate to invoice, parts-supplier integrations, standard times, VIN decoder | Not published |
| Autocarro | DMS | Quebec | Work orders, photo inspections, inventory, accounting, booking by bay | Subscription, 14-day trial |
| GarageBox | DMS | India | 30+ shop processes, inspections, technician mobile app | Not published, free tier announced |
| Shopmonkey | DMS | United States | Full shop management, wide North American adoption | Not published |
| Kairos | Customer communication | Quebec | Online booking, two-way SMS, repair status, Google reviews, follow-ups | $1.99/appointment processed, then $0.99 |
Note the “family” column: four of these five compare against each other. Kairos compares against none of them, it sits on top.
The vendors in detail
GEM-CAR, the long-standing Quebec DMS
A Quebec vendor, established with mechanical shops and tire centres. Its core pitch is going from estimate to invoice inside a single form, plus integrations with the parts suppliers of the Quebec market: Dave from Uni-Select, WebLink from Carquest, Turbo II, Netvalue and Prolink from NAPA. It pulls standard times from Mitchell and AllData, includes a VIN decoder, and manages shop efficiency and capacity. It also sends SMS. Worth a look if your priority is the estimate → parts → invoice chain.
Autocarro, the Quebec DMS with accounting built in
Designed in Quebec for local garages and parts stores rather than adapted from a US product. It covers customers, work orders, digital inspections with photos, estimates and invoicing, inventory, supplier ordering, and goes as far as a full accounting suite (receivables, payables, general ledger). It also handles time tracking, scheduling by bay, an online store and appointment booking. Subscription varies by features and user count, with a 14-day trial and French-language support. Worth a look if you want one system from the bay through to the books.
GarageBox, the widest feature coverage
A vendor based in India, with offices in Bahrain, Thailand and Malaysia. It claims 30+ processes: workflows, estimates, inventory and parts, digital inspections, service packages, procurement, appointments, reminders, technician time tracking, customer communication over SMS, email and WhatsApp, online bookings and a technician mobile app. It explicitly targets general repair, collision and paint, detailing, tire and wheel centres, and quick-lube. A free tier is announced. Worth a look for breadth; evaluate it on support coverage and time zone.
Shopmonkey, the North American standard
A US shop-management platform widely adopted across North America. Kairos syncs with it directly: that is the most common setup among our users, who keep Shopmonkey for the bay and add Kairos for the customer relationship.
Kairos, the customer communication layer
A Quebec vendor. Kairos handles no work orders, no inventory and no invoicing, by design. It covers 24/7 online booking with slots computed from real capacity, SMS reminders customers reply to (YES, NO, RESCHEDULE), live repair status, the vehicle-ready alert, automated Google reviews and seasonal follow-ups. SMS go out in English, French or Spanish. Usage-based pricing: $1.99 per processed appointment for the first 100 in the period, then $0.99, no commitment. Worth a look if your problem is the phone, not the invoicing.
You will also run into directory sites such as Capterra or GetApp, useful for building a long list, but they rank without separating the two families described above.
Decision grid: which one for your situation?
| Your situation | What you need |
|---|---|
| You still invoice on paper or in a spreadsheet | A DMS first. That is the foundation. |
| Invoicing works, but the phone never stops | A customer communication layer. Replace nothing. |
| You lose bays to missed appointments | Two-way SMS reminders, not a new DMS. |
| Your Google profile has fewer than 20 reviews | Automated review requests after service. |
| You do not know what is in stock | A DMS with inventory management. |
| You run solo or as a pair, under 100 appointments a month | Avoid the flat subscription. Go usage-based. |
| Several technicians and real parts volume | A full DMS, plus the communication layer on top. |
The setup that works best: run both
For most independent shops the right build is not picking a side, but stacking two layers that do not overlap.
- A DMS for the bay: work orders, parts, inventory, invoicing.
- A customer communication layer on top: booking, reminders, status, reviews, follow-ups.
- The two in sync: Kairos connects to Shopmonkey, Google Calendar and Outlook, with no double entry.
It is also the lowest-risk build: you are not putting working invoicing back on the table to fix an inbound-call problem.
What does auto repair shop software cost?
None of the DMS vendors above publishes a public price list: you have to book a demo to get a number. What can be said without inventing figures is that the dominant model is a flat monthly subscription, generally scaled to user and module count, frequently with an annual commitment and setup fees. Autocarro offers a 14-day trial; GarageBox announces a free tier.
Kairos works differently: $1.99 per processed appointment for the first 100 in the billing period, then $0.99. No payment at signup, billed monthly, no commitment. A shop at 80 appointments a month pays roughly $160; a month with no appointments costs nothing. The impact calculator prices the return at your volume.
The question to put to every vendor is not “how much per month” but “how much over three years, commitment and setup included, at my user count”.
Frequently asked questions
What is the best auto repair shop software?
There is no single answer, because these tools do different jobs. For shop management in Canada, GEM-CAR and Autocarro are the Quebec references, Shopmonkey the North American standard, GarageBox the broadest on features. For customer communication (online booking, SMS reminders, Google reviews), that is a separate category, where Kairos sits. Many shops run one of each.
Is there free auto repair shop software?
GarageBox announces a free tier on its site. Free tiers are usually capped on users or work orders. Kairos is not free, but charges nothing at signup and nothing in a month with no appointments: you pay $1.99 per appointment actually processed.
Do I have to replace my current system to add online booking and SMS reminders?
No. A customer communication layer sits on top of the shop management software you already run. Kairos syncs with Shopmonkey, Google Calendar and Outlook with no double entry, which avoids the data migration and training a DMS change involves.
Which software for a one- or two-person shop?
The deciding factor is the pricing model. A flat subscription designed for an eight-technician shop is hard to justify at low volume. Favour usage-based pricing, or an entry tier, and check there is no annual commitment.
Is this comparison impartial?
It is published by Kairos, one of the solutions listed. We handle that by being explicit about what Kairos does not do: no work orders, no inventory, no invoicing. If your need is shop management, the DMS vendors listed here are better choices than Kairos, and the decision grid says so. Third-party details come from vendor websites, checked 16 September 2026.
